Sales Admin Assistant
Job Summary
Key Accountabilities:
1. Sales Administrative Support
- Prepare and send complete and accurate sales proposals, templates, and contracts within the same day.
- Keep all contracts, conformes, POs, and other sales documents properly filed and organized.
- Coordinate with other departments to ensure smooth and timely execution of sales activities.
- Monitor contract expirations and send renewal notices at least 60 days in advance.
- Join sales meetings to provide support to Account Executives on their projects.
2. Sales Booking and Documentation
- Handle the preparation, routing, and endorsement of contracts and bookings within three working days.
- Coordinate the availability and timely delivery of advertising materials.
- Oversee the rollout or uploading of LED/Digital materials and secure photo documentation on the agreed start date.
- Track order status and immediately resolve any client concerns to maintain good relationships.
3. Data Management (CRM)
- Keep the CRM system updated with accurate client, lead, and pricing information.
- Prepare and submit daily, monthly, and annual sales reports on time.
- Propose system enhancements to improve efficiency and maximize CRM usage.
